Description

Perkins Coie LLP has an immediate opening for a Benefits Leave Administrator. The ideal candidate will be responsible for handling simple to complex leave administration, advising supervisors, interpreting policy and regulations, and assisting firm personnel. Daily work assignments are performed independently. This role requires discretion and confidentiality in dealing with sensitive and confidential information and consults with Senior Benefit Leave Administrator, HR Director, Chief Talent Officer and Firm Employment Counsel as necessary to ensure the fair and consistent application of policies and procedures.

Leave Administration:

  • Administer FMLA and state leave processes. Ensure ongoing leave processes and procedures in place are in compliance with federal, state and local regulations.
  • Administer the Staff Sabbatical program. Verify qualifications, coordinate approval, process and track requests, draft communication, develop reports, and maintain records of the program.
  • Work with managers and firm personnel to ensure clear understanding of leave rights and responsibilities as well as leave options available to personnel. Guide managers throughout the leave in interpreting the legal parameters of applicable federal, state and local laws as well as internal firm policies.
  • Respond to inquiries from firm personnel and managers requiring application of organizational policies and practices regarding eligibility, definition, paid/unpaid status, continuation of benefits, accommodation and return-to-work relating to leaves of absence. Escalates complex leave administration questions to the Sr. Benefits Leave Administrator
  • Work with employees and managers to ensure timely and compliant delivery of leave information. Oversee the distribution, completion and return of leave related materials, resolving discrepancies or issues when necessary. Track FMLA and coordinate with other leave benefit plans such as short and long-term disability plans, life insurance, and COBRA.
  • Work with benefits team members to ensure all benefits are considered and addressed during personnel leaves (medical, personal, unpaid, etc.). Understand how different types of leaves impact benefits differently and be able to clearly communicate differences verbally and in written formats.
  • Works with firm Payroll teams to ensure timely notification of paid, unpaid leaves, pay integration, and return-to-work.
  • Oversee the return-to-work processes for firm personnel returning from extended leaves of absence, which may include accommodation requests.
  • Assist with processing Workers’ Compensation claims with WA State Labor & Industries (or other monopolistic states) and the firm’s Workers’ Compensation carrier; CNA.
  • Audit programs and make recommendations for process improvements and policy changes. Monitor legislation and notify HR management of changes that affect the leave and disability plans and assist in the implementation of needed changes.
  • Audit systems (HRIS, timekeeping, etc.) to ensure leave program utilization is within regulatory and firm policies. Maintains leave information in HRIS.
  • Maintains the firm’s leave administration process manual. Maintains leave and accommodation records for firm personnel including set up and destruction of files in the firms Document Management System.
  • Works with Risk Manager and Office Business Directors to track Workers Compensation claims and leaves.
  • Maintains knowledge of all applicable leave and accommodation laws including FMLA, ADA, and state and local laws.

Wellness Programs:

  • Administers and promotes a culture of wellness through administration of Wellness Challenge and other programs to promote cross utilization of benefits.


Accommodations:

  • Works with Office Business Directors/HR Managers to respond to requests for employee accommodation under the Americans with Disabilities Act.
  • Participates in the interactive process documenting the steps taken and ensuring appropriate communication and involvement resulting in a determination on all accommodation requests.

Employee Relations:

  • Identifies relevant issues, provides advice and counsel to firm personnel and management regarding leave of absence practices, policies, and requirements.
  • Coaches managers to ensure understanding, consistent interpretation of policies and consistent approach, involving Sr. Benefit Leave Administrator, HR Director or Chief Talent Officer as necessary.
  • Promotes a culture of consistency, equality, and fairness through interactions with management and firm personnel.

Training and Development:

  • Facilitates training sessions relating to: leave of absence and time entry, Employee Sick Leave/Personal Time Off, and accommodation processes, as requested.

Requirements

Required Skills:

Ability to maintain high level of confidentiality. Excellent attention to detail, organization skills, and time management. Math aptitude, analytical thinking, and problem solving skills. Proficient in Word, Excel and data base systems. Ability to work successfully in team environment with emphasis on customer service. Ability to communicate complex concepts effectively. Knowledge of state and federal laws and regulations affecting employers and employees with benefit and leave plans (ERISA, HIPAA, COBRA, USERRA, FMLA).


Preferred Skills:

Member of professional organization (such as WP&BC, IFEBP, WorldatWork, etc.). Completion of benefits specific coursework, seminars, or professional designations.

Education & Experience:

College degree and three to four years of experience working in leave administration. Experience working in professional services environment. Experience working with employees in multiple locations, including California, New York and New Jersey.

This position may be filled in Denver and in accordance with the Colorado Equal Pay Act, the compensation range in Denver for this position is $63,730 - $79,210, depending on qualifications and experience. Perkins Coie may provide a discretionary bonus annually and information regarding benefits can be found here.
